Shrewsbury International School Bangkok is committed to protecting and respecting you and your child’s privacy. This notice sets out the basis on which personal data is collected by the school from you or your child, or that you provide to us, what it is used for and how it is handled by the school in accordance with Thailand's Personal Data Protection Act BE 2562.

Data Privacy Notice (Parents)

Shrewsbury International School Bangkok is committed to protecting and respecting you and your child’s privacy. This notice sets out the basis on which personal data is collected by the school from you or your child, or that you provide to us, what it is used for and how it is handled by the school in accordance with Thailand's Personal Data Protection Act BE 2562.



Why the school collects personal data:


Personal data means any information relating to a person, which enables the identification of that person, either directly or indirectly. For example, this could be name,  address or contact details.


The school collects and uses personal data to:

  • identify members of the school parent community for communication

  • safeguard and promote the welfare of students

  • support students’ learning and help every student fulfil their potential

  • manage the school’s operations effectively

  • understand the school community’s requirements and preferences in order to develop and grow the school

  • operate effectively school community groups; such as alumni and parent association

  • manage the school admissions process

  • promote the school (see below)

  • comply with the law


Parents provide information about themselves and students on admission to the school. Personal data is also collected from parents and students through meetings, discussions, forms, surveys and general school communication. Sometimes personal data may be supplied to the school by third parties, for example from another school.

Your personal data will only be processed where the school has a specific purpose, and on a lawful basis, in accordance with the Personal Data Protection Act of Thailand.


Types of personal data collected by the school:


Examples of personal data collected by the school include:


  1. Biographical and Identification information such as name, gender, nationality, date of birth, passport, visa and national identity number and details of family members

  2. Contact information such as addresses, telephone numbers, e-mail addresses, and emergency contacts

  3. Vehicle details for those who wish to use the school’s car parking facilities

  4. Prospective students academic and other records from another school 

  5. Students health and medical information, such as allergies, dietary requirements, accident records and school medical centre visits

  6. References given or received by the school about students and staff

  7. Images of students, staff, parents and visitors in the school site 

  8. Correspondence between the school and parents

  9. Information from parental surveys and feedback forms.


Promotional activities of the school

The school will contact you periodically to let you know about activities at the School, news about current and former students and other school-related events that may be of interest to you. 

The school uses photographs and video of students, parents, staff, alumni, volunteers and other guests at school events for marketing and other publicity purposes. Sometimes the school may also share additional information such as stories and memorabilia from their time at the school.


How long the school keeps your personal data:


As a principle, your personal data will not be kept for longer than it is needed for the purpose it was collected. The schools data retention and deletion schedule documents how long different information is required. The school may retain some personal data after the student has left the school. For example, this may include public exam results, and safeguarding information. The school may keep some limited information for historical, research or statistical record.

A copy of the data retention & deletion schedule is available upon request at the address at the foot of this document.


Sharing personal data with third parties:


The school may need to share personal data with third parties for the proper operation of the school’s activities. Personal data is shared securely and only for the purposes as defined in agreement with each third party and only for as long as required to carry out those purposes..


Third parties of the school include:


  1. School medical emergency and service providers

  2. School trips or events providers

  3. School extra-curricular providers

  4. School professional advisors and agencies

  5. Regulatory bodies and external auditors

  6. School alumni association

  7. School IT systems and cloud storage providers


In addition, the school may be legally obliged to share personal data with Thai governmental authorities.



Security of personal data


The school is required to keep your personal data secure, including ensuring that there are appropriate security measures in place to prevent the unauthorised disclosure, loss, access to, use or alteration of personal data.


The school is also required to ensure that there is a system to destroy your personal data once the retention period expires.



Rights over your personal data held by the school


If you wish to request a copy of your personal data held by the school please complete a Subject Access Request form and send to the address below. You can also withdraw consent, request for the deletion, suspension of use or correction of personal data using this form.


The school seeks to ensure that all personal data is up to date and accurate. Periodically the school may make contact with you to confirm that the details  held  are accurate and up to date.
